Using contacts
Saved contacts make adding signers faster. Instead of entering the same name and email address each time, you can select an existing contact whenever you create a signing request.
Select a contact when sending
When adding signers to a signing request, you can select a person from your Contacts using the contact dropdown.
Start typing to find a saved contact, then select the person you need. Their saved name and email address are added to the signer information.
You can also enter a new person's details directly if they are not already saved as a contact.
See Add Signers.
Use contact segments to find people
If you have organized your contacts into Contact Segments, segments make it easier to find the right people within a larger contact list.
For example, you might use a Customers segment to quickly find your regular customers, then select the specific customer needed for the current signing request.
A segment does not automatically send a document to everyone in it. You still select the people who should be included in the signing request.
Contacts and templates
Templates define signer roles, not necessarily specific people.
For example, a template may contain:
- Customer
- Company Representative
When creating a signing request, you can select a contact for each role:
- Customer → John Smith
- Company Representative → Sarah Jones
This allows the same template to be reused for different people without changing its signer and field configuration.
See Add Signers to a Template.
Keep contact information up to date
If a person's name or email address changes, update their saved contact information so it is correct the next time you select them.
Updating a contact does not change signing requests that have already been created. Each signing request uses the signer information that was selected when that request was created.
In short: Contacts store reusable signer information; segments help organize those contacts; and the contact dropdown makes it quick to select the right person when creating a signing request.
