Email FAQs
Common questions about signing emails, SMTP configuration, email templates, and email delivery.
Who sends signing emails?
Undersign sends signing requests, notifications, reminders, and completion emails using the email delivery configuration for your account.
By default, emails are sent using Undersign's configured email service. You can also connect your own SMTP server if you want to use your own email infrastructure.
See Email & SMTP.
Can I use my own email address?
Yes. You can configure your own SMTP server under Account Settings → SMTP Configuration and specify the email address and name that should appear as the sender.
Your SMTP provider must allow the configured address to send email through the account.
Can I use my own domain?
Yes, if your email provider supports sending through your domain. Domain authentication, such as SPF and DKIM, is configured through your email provider rather than in Undersign.
Make sure your From Email and SMTP configuration are consistent with your provider's requirements.
See Email & SMTP.
Why are signing emails going to spam?
Email delivery and spam filtering are controlled largely by the recipient's email provider.
If you are using your own SMTP server, check your email provider's domain authentication settings, including SPF and DKIM where applicable. Also make sure the configured From Email is valid and permitted by your SMTP provider.
If emails are being sent successfully but are reaching spam, ask the recipient to check their Spam/Junk folder and contact their email administrator if necessary.
See Email & SMTP Troubleshooting.
Can I customize the emails sent by Undersign?
Yes. Email Templates allows you to customize the content of system emails, including:
- Signature Request
- Document Complete
- Signature Notification
- Signature Reminder
- Signature Declined
- Default Footer
You can customize the email subject and body and use the available variables to insert relevant information dynamically.
See Email Templates.
What emails can a signer receive?
Depending on the signing request and its activity, a signer may receive emails such as:
- A Signature Request containing their signing link
- Signature Reminders
- A Signature Notification
- A Document Complete notification
- A Signature Declined notification where applicable
The exact emails a recipient receives depend on the signing request and its status.
