Document FAQs

Common questions about finding documents, understanding their status, and accessing completed signing records.

How do I find a document?

Use the Search and Filter options in the document lists to find the signing request you need.

Documents are organised by status:

You can open a request's Details page to view its signing information, recipient status, and available actions.

See Sent Documents and Document Details.

What do the document statuses mean?

Undersign uses three signing request statuses:

StatusMeaning
SentThe signing request has been sent and is awaiting the required signing activity.
CompletedAll required signing activity has been completed.
DeclinedA signer has declined the signing request.

See Document Status.

What is a Completion Certificate?

A Completion Certificate is a human-readable record of a completed signing request. It contains information such as the signers, signing activity, timestamps, documents included in the request, document hashes, and audit trail events.

You can download the certificate separately or include it with the signed documents.

See Completion Certificates.

What is the audit trail?

The audit trail is a chronological record of important signing request and document-related events. It can include signer activity, timestamps, IP addresses where recorded, and completion events.

The audit information is also included in the Completion Certificate for completed signing requests.

See Audit Trails.

Can I download the signed documents and certificate separately?

Yes. From a completed request's Details page, you can choose:

This lets you keep the signed documents and Completion Certificate separately or together, depending on your needs.

What happens when I delete a document?

A deleted document is moved to Trash. If you need to locate a deleted document, check the Trash section.

The availability and handling of deleted records depend on the document deletion and retention behavior configured for your Undersign account.
