Signature requests
A signature request is the process Undersign uses to send one or more documents to one or more people for signature. It brings together the documents, signers, fields, signing settings, and signing activity in one place.
Once a request is sent, you can track its progress until it is Completed or Declined.
What a signature request includes
A signature request can contain:
- One or more documents selected from your templates
- One or more signers, with fields assigned to each signer
- Prefilled information that is added before the request is sent
- Signing settings, such as signing order and field visibility
- A message for the recipients
- Signing activity and audit trail that records what happens throughout the request
Signature request statuses
Undersign uses three statuses to track signature requests:
| Status | What it means |
|---|---|
| Sent | The request has been sent and is waiting for the required signers to complete their fields. |
| Completed | All required signers have completed the request and the signed documents are ready. |
| Declined | A signer has declined the request. The request and its activity remain available for review. |
Different ways to send a signature request
Undersign supports different signing methods depending on how you need to collect signatures.
Standard signing request
Send one or more documents to specific recipients by email. Each recipient receives a secure link to review and sign.
Bulk signing
Send the same template or document to multiple recipients as separate signing requests in one operation. This is useful when many people need to sign the same type of document.
Public signing request
Create a shareable signing link instead of sending an individual email invitation. Anyone who has the link can access the signing request and complete it, depending on the configured requirements.
See Bulk signing and Public signing links.
Signing order
When a request has multiple signers, you can choose how they complete it.
Sequential signing requires signers to complete the request in a specific order. For example, Signer 1 signs first, and Signer 2 receives access only after Signer 1 has completed their part.
With other signing modes, multiple signers can complete their fields without waiting for another signer.
See Signing Order.
Field visibility
For requests with multiple signers, you can control whether a signer can see information entered by another signer.
For example, you can configure the request so that:
- Signer 1 can see or cannot see fields completed by Signer 2.
- Signer 2 can see or cannot see fields completed by Signer 1.
This is useful when different parts of a document contain information that should only be visible to particular signers.
See Field Visibility.
Track a signature request
After a request is sent, you can monitor it under Documents → Sent. The request's details page shows the documents included, signer progress, current status, and activity.
Once completed, the request moves to Completed. If a signer declines, it appears under Declined.
See Sent Documents, Completed Documents, and Document Details.
