Build your first reusable workflow
Before you start
- A document you send more than once: an NDA, agreement, or form.
- A clear idea of who signs it and what they fill in.
Why templates matter
Every template is a saved document with fields pre-placed. Instead of re-uploading and re-placing fields per send, you pick the template, add signers, and go. This is the difference between a one-off and a workflow.
The workflow
- Upload the document as a template.
- Add signer roles (who signs, in what order).
- Place the fields each signer completes.
- Publish the template.
- Send from it whenever the document is needed.
Step 1: Create the template
Create a template from your document. You can also turn an existing PDF into a template directly.
Step 2: Add signer roles
Add roles like Client or Manager. Roles let one template serve many sends, you assign a real person to each role when you send. See Add signers.
Step 3: Place fields
Place signature, date, and text fields, and assign each to a role. If two signers are involved, decide what each one sees with Field visibility.
Step 4: Publish
Publishing makes the template sendable. Fix anything the editor flags, then publish.
Step 5: Reuse
When the document is needed, send it from the template, signers and fields are already in place.
What happens next?
Your most-repeated documents are now minutes to send. Organize several templates with categories, and explore sending the same document repeatedly.
