CRM E-Signature Integration: Connect Workflows for Free

Add signing to the workflow you already use

If your team manages leads, customers, deals, and renewals in a CRM, the next step after a sales or service decision should not be manually preparing a document, switching tools, and chasing the recipient for a signature. UnderSign gives businesses a free e-signature service that can be connected to CRM workflows through its API, so signing can fit the process your team already follows.

The right setup depends on who needs to sign. Send a standard signature request when the recipient is known. Use Bulk Signing when many known recipients each need their own copy of an agreement. Use

Signing Links when the signer is not known in advance and should open a reusable URL or scan a QR code to complete the document.

Three ways to connect a CRM to UnderSign

4 Electronic Signature

5 Webhook Status Sync

1. Send one agreement to a known customer

A salesperson moves a deal to the appropriate stage. The workflow prepares the right document, uses the customer's approved details, and sends an individual signature request. The CRM can store the request identifier and show a link or status to the responsible team member.

Good fits include proposals, statements of work, service agreements, NDAs, and customer-specific contracts.

2. Send individual agreements to a list of people

A business may need signed policy acknowledgements, partner agreements, customer terms, or renewal documents from dozens or hundreds of known contacts. Bulk Signing can create independent signature requests from a recipient list, such as a CSV file. Each person receives their own request and has an independently trackable outcome.

The value is not simply sending many emails. It is avoiding one-by-one administration while keeping each signer's document and result separate.

3. Collect signatures from people you do not know yet

A public Signing Link can be published on a website, displayed at reception, or encoded in a QR code on a printed notice. A visitor, customer, or event attendee opens it and signs without the business having to create a CRM contact or know the signer's email address in advance.

This is useful for waivers, visitor acknowledgements, event forms, intake forms, and other documents where the signer initiates the process. If identity verification is required, a public link alone should not be treated as proof of identity.

What a useful CRM integration should do

Workflow requirement Business outcome
Prepare a document from approved CRM data Less copying and fewer data-entry mistakes
Start a signature request from a meaningful business event Less delay between approval and sending
Store a request ID or reference on the CRM record Easier support and follow-up
Reflect pending, completed, declined, or expired states where supported Sales and service teams can see what needs attention
Retrieve or link the completed document and signing evidence Easier recordkeeping
Handle errors and retries deliberately Fewer requests lost in failed automations

A practical integration should also decide what happens when a deal is edited after a document is sent, a signer uses an old link, an API call fails, or a document is declined. These are operational decisions, not merely technical details.

CRM platforms this approach can support

The same business pattern can be adapted for Salesforce opportunities, HubSpot deals, GoHighLevel workflows, Microsoft Dynamics 365 records, Zoho CRM modules, and Pipedrive deals. The exact trigger, data mapping, and record updates depend on the CRM configuration and the integration that is implemented.

Is UnderSign a fit?

UnderSign is worth evaluating if you want a forever-free e-signature platform, need more flexibility than a fixed native workflow provides, or want to connect signing to your own application through an API. Check the current plan terms, API entitlements, rate limits, and storage limits before selecting the implementation approach.

Frequently Asked Questions

Can I connect UnderSign to Salesforce, HubSpot, or another CRM?
+

A CRM can be connected through an API-based workflow when the required API access and CRM capabilities are available. The specific integration needs to be configured and tested; do not assume a ready-made native connector exists.

Can I use both individual signing and bulk signing?
+

Yes. They address different jobs: one known recipient versus many known recipients who each need an independent signature request.

Can people sign without being added to my CRM first?
+

A public Signing Link or QR code can let an unknown or walk-in signer start a signing session. If you later need a CRM record, the integration must define how the submitted details are matched or added.

Is UnderSign free?
+

UnderSign is positioned as a forever-free e-signature SaaS. Verify the current plan and API terms for the exact capabilities your workflow needs.
