Salesforce E-Signature: Send Agreements Without Extra Fees

The opportunity is ready. Why is the contract still waiting?

Sales teams often have a clear opportunity stage, an account owner, and the customer details needed to prepare an agreement. Yet someone may still download a template, copy information from Salesforce, email a PDF, and manually update the opportunity after it is signed. That handoff creates delays and leaves room for stale documents or incomplete records.

A Salesforce e-signature integration with UnderSign can reduce those manual steps. An API-based workflow can use an approved opportunity or account event to prepare a document, initiate a signature request, and associate the resulting request and completed document with the relevant Salesforce record.

A realistic Salesforce workflow

Imagine a services company that sells a monthly implementation package.

  1. The sales representative marks an opportunity as ready for contracting.
  2. The workflow checks that required fields, such as customer name, legal entity, package, and approved fee, are present.
  3. It prepares the correct agreement from a controlled template.
  4. UnderSign sends a standard signature request to the known customer.
  5. The integration stores a request reference against the opportunity and updates status when reliable status information is available.
  6. After completion, the signed document or a secure reference to it is attached to the appropriate record, according to the company's access and retention policy.

This workflow should not automatically send every opportunity that reaches a stage. Add eligibility checks, approval gates, and duplicate prevention so a stage update does not send the same contract repeatedly.

Choose the delivery method based on the Salesforce record

Standard request, one known signer. Use it for a customer-specific statement of work, NDA, sales agreement, or renewal that needs to go to a named contact.

Bulk Signing, many known recipients. Use it for an annual acknowledgement or revised terms that must be sent to a defined list of account contacts. Each recipient should receive an independent request, not a shared document in which one person can see another person's information.

Signing Link or QR code, the signer is not known in advance. A service desk, showroom, or event team can display a QR code for a visitor waiver or acknowledgement. Salesforce does not need to know the visitor before the person begins signing. If the business needs the completed form associated with a Salesforce contact or case, define a reliable matching or record-creation rule.

Salesforce data worth mapping

Salesforce data Potential use in the signing workflow
Opportunity name and ID Correlate the request with the deal
Account legal name Populate the contracting entity
Contact name and email Address a standard signature request
Approved product or service details Select the right document and terms
Contract owner or account owner Route internal follow-up
Request status and completion date Support operational reporting
Signed-document reference Help authorized staff retrieve the final copy

Map only the fields the document genuinely needs. Do not copy every CRM field into a contract just because it is available.

Where UnderSign fits

UnderSign offers a forever-free e-signature SaaS and API-based integration option. This can be attractive when a Salesforce team wants to control its signing workflow, use standard requests and bulk signing, or support public QR-code signing without purchasing another signing subscription solely for those workflows.

The implementation still needs to account for Salesforce permissions, API limits, error handling, record visibility, and any existing Salesforce or third-party e-signature capabilities. Compare the required workflow with the features and total cost of your current setup before replacing anything.

Frequently Asked Questions

Does UnderSign have a native Salesforce package?
+

Do not assume so. Unless a supported native package is available and verified, plan for an API-based integration or suitable middleware.

Can Salesforce send a contract when an opportunity closes?
+

A configured workflow can use a qualifying opportunity event to initiate signing. Use a deliberate contracting stage or approval gate rather than relying blindly on the generic Closed Won state.

Can the signed PDF be stored on the Salesforce record?
+

The integration can be designed to attach the completed file or store a secure reference, subject to Salesforce storage, permissions, and the chosen document-retention design.

Can Salesforce support bulk or QR-code signing with UnderSign?
+

Bulk Signing fits lists of known recipients. Public Signing Links and QR codes fit walk-in or self-initiated signers. Each requires a workflow designed for that use case.
