Every copied field is another chance for a contract error
When a team copies a customer's legal name from a CRM into a contract, it may omit a suffix, use an outdated address, or carry forward the wrong price. The problem gets worse when the same data appears in proposals, service agreements, order forms, and renewal documents.
An UnderSign workflow can use approved data from a CRM to prepare the document or populate supported fields before a signature request is created. The key is controlled mapping, not blindly merging every CRM field into a document.
Map the data that changes the agreement
Map the data that changes the agreement
| CRM field | Document use | Check before sending |
|---|---|---|
| Legal entity name | Contracting party | Confirm it is the legal name, not just a display name |
| Signer name and email | Recipient | Confirm the person is the intended signer |
| Service/package | Scope section | Match the approved package or SKU |
| Fee and billing terms | Commercial terms | Use approved values and formatting |
| Start/end dates | Term clause | Confirm timezone and date conventions if relevant |
| CRM record ID | Internal reference | Preserve it for reconciliation, not necessarily as visible contract text |
Template wording and commercial logic should be approved by the business. Automation should not decide legal terms based on ambiguous notes or free-text fields.
Three ways the same mapping can be used
One contract: A salesperson selects an approved template and sends a standard request to a known customer.
Many contracts: Bulk Signing uses a validated CSV or list of known recipients. Each row supplies the approved values for that recipient's independent request. Reject or flag rows with missing required fields instead of sending malformed documents.
Public form: A Signing Link can let an unknown signer enter information and sign a standard document. Here the signer supplies some data rather than the CRM supplying it in advance. If the submission should later create a CRM record, validate and map the captured fields deliberately.
Prevent stale data from becoming a signed mistake
Decide when the document values are frozen. Usually, once a request has been sent, a later CRM edit should not silently rewrite the in-flight document. If material terms change, cancel or supersede the request and create a new version with a clear audit trail.
For bulk runs, keep a record of the source file or batch reference, the template version, and the result for each row. For public links, make sure the template contains only appropriate fields and that the form does not collect more personal information than necessary.
UnderSign can be considered where the business wants a forever-free signing service and API-driven document workflows. Verify current API and plan entitlements.
Frequently Asked Questions
Can UnderSign use CRM fields to prepare contracts?
A configured integration can map approved CRM data into the document workflow, subject to the template and API capabilities used.
Will changes in the CRM update a document already sent for signature?
They should not silently change an in-flight document. Define a controlled cancel-and-reissue process for material changes.
Can the same template be used for bulk signing and public links?
A template may support different delivery patterns if the workflow is configured for them. Validate required fields, signer behavior, and the data collected in each mode.
