Gate CRM E-Signatures on Internal Deal Approvals First

Faster signing is useless if the wrong version goes out

Ungoverned Sales Sending

High Risk
  • 1 Rep drafts custom pricing or terms
  • 2 Sends PDF before legal/finance check
  • 3 Customer signs non-standard warranty
  • 4 Company bound by unapproved liabilities

Approval-Gated Dispatch

Compliant & Safe
  • 1 Deal triggers CRM approval matrix
  • 2 Finance/Legal signs off internally
  • 3 UnderSign API unlocked only on approval
  • 4 Tamper-evident agreement dispatched

Sales and service teams often revise pricing, scope, delivery dates, or legal language before a customer signs. If an automated workflow fires too early, the customer may receive a draft or an agreement with unapproved terms. That creates rework and can undermine trust.

The right design separates internal approval from external signature. UnderSign handles the signing step after the CRM or an associated workflow confirms that the document is eligible to send.

A gated workflow

  1. The owner prepares the agreement using approved customer and deal information.
  2. The appropriate manager or authorized role approves the commercial terms and document version.
  3. The workflow records the approval reference or version identifier.
  4. UnderSign sends a standard signature request to the intended signer.
  5. The request ID and status are associated with the CRM record.
  6. If the terms change materially, the old request is cancelled or superseded through a controlled process and a new version is issued.

For complex approvals, the organization may need a separate approval system or a documented human checkpoint. A signature platform should not be presented as a substitute for every internal governance requirement.

Different controls for different delivery methods

Standard request: Use a named signer and a specific approved document version.

Bulk Signing: Freeze the approved template and validate the recipient data before starting the batch. If the template or terms change during the run, stop and assess whether remaining requests should be cancelled.

Public Signing Link: Only publish an approved template. Since signers can open a public link without being individually selected first, restrict what they can change and decide how to handle outdated versions. Use expiry or replacement controls if available and appropriate.

A short pre-send checklist

  • Is the document version approved?
  • Are the correct legal entity and signer selected?
  • Are all mandatory CRM fields complete?
  • Is there already an active request?
  • Does the signer need a specific sequence or visibility rule?
  • Where will the final document and signing evidence be retained?
  • Who handles a decline, expiry, or correction?

UnderSign can be considered as the signing layer in this workflow, with API-based orchestration where supported. Confirm current API behavior and plan entitlements, and test the replacement process, not just the happy path.

Frequently Asked Questions

Can a CRM approval trigger an UnderSign request?
+

A configured workflow can use an approval outcome as a gate before creating the request.

What if the contract changes after it is sent?
+

Do not silently alter the in-flight document. Define a cancel-or-supersede and reissue process. **Are public Signing Links suitable for confidential negotiated contracts?** Usually, a named standard request is more appropriate for a confidential, negotiated agreement. Public links suit approved standardized documents where self-initiated signing is intended.
